POLICIES & PROCEDURES:
EXAMINATION & INVIGILATION

Crosby Training ensures all examinations and assessments are conducted securely, fairly, and consistently, whether on-site or remote. Procedures comply with Ofsted, ESFA, awarding body regulations, and accessibility legislation.

EXAMINATION MATERIALS

  • Paper assessments delivered in sealed security bags; e-assessments via secure platforms with single-use codes.
  • Materials must be securely stored, logged, and controlled at all times.
  • Records are kept of receipt, issue, return, and disposal.

LEARNER IDENTIFICATION

  • Invigilators verify learner identity before assessment using approved ID.
  • Alternative ID methods may be used if approved and documented.

PRE-ASSESSMENT REQUIREMENTS

  • Invigilators must prepare the venue, display signage, ensure accessibility, spacing, and secure prohibited items.
  • Learners are briefed on rules, duration, and complete declaration forms.
  • Reasonable adjustments are accommodated according to awarding body guidance.

DURING ASSESSMENT

  • Invigilators supervise learners continuously, maintain silence, and monitor time.
  • Learners leaving temporarily must be monitored to prevent access to notes or communication.
  • All incidents, disruptions, or malpractice are documented and reported.

EMERGENCIES

  • Evacuate safely while preserving assessment integrity.
  • Centre lead decides whether assessment continues, pauses, or is rescheduled.
  • Report incidents to awarding body where required.

POST-ASSESSMENT PROCEDURES

  • Count and verify all assessment materials against the learner list.
  • Seal and return papers promptly; e-assessments stored securely in line with GDPR and ESFA rules.
  • Maintain logs of handling, sealing, and submission.

GOVERNANCE & COMPLIANCE

  • Governance & Leadership Team oversees compliance and policy review.
  • Staff receive mandatory training including safeguarding, equality, and digital security.
  • Compliance is monitored through training records, checklists, incident logs, and material return logs.
  • Non-compliance is escalated to senior leadership for corrective action.

EQUALITY & ACCESSIBILITY

  • Reasonable adjustments are provided to ensure equitable assessment conditions.
  • Requests must be handled in advance and documented appropriately.

REFERENCES

Crosby Training Safeguarding & Welfare Policy, Awarding Body Regulations, ESFA Funding Rules, Ofsted Education Inspection Framework (EIF), GDPR and Data Protection Act 2018/assessment materials must be posted back to the awarding body within 48 hours or the exam taking place.
