A.I.

This policy provides guidance for the safe, ethical, and secure use of Artificial Intelligence (AI) within Crosby Training. AI may be used to enhance teaching and learning, support curriculum delivery, encourage innovation, and reduce workload, provided the safety, privacy, and wellbeing of learners, staff, and other stakeholders are protected.

PURPOSE & OBJECTIVES

AI should be used to:

  • Improve teaching and learning experiences.
  • Support ethical and responsible practice.
  • Protect stakeholder privacy and data.
  • Assist with workload management.
  • Encourage innovation and curriculum development.

ETHICAL USE OF AI

All AI technologies must be approved by Management, the IT Team, and the Safeguarding Team before use. Approved systems must comply with intellectual property laws, GDPR, and data protection requirements.

Transparency is essential. Staff and learners must clearly identify when AI has been used to support work, learning, or delivery. AI should be used to supplement knowledge and professional judgement, not replace them. Any AI-generated content must be reviewed to ensure it is accurate, appropriate, and free from bias.

TEACHING, LEARNING & ASSESSMENT

The use of AI must align with curriculum aims and enhance the learning experience rather than simplify it. Learners remain responsible for demonstrating their own knowledge and understanding. Tutors may request additional evidence, including verbal explanations, to confirm competence and authenticity.

Work produced solely by AI is not eligible for assessment. AI-assisted work must be clearly identified and supported by the learner’s own understanding and evidence.

WORKLOAD REDUCTION

AI may be used to assist with the creation of learning resources, presentations, lesson plans, assessments, emails, CVs, and cover letters. However, staff must thoroughly review all AI-generated content before use or distribution and ensure that it accurately represents learners and organisational standards.

RESPONSIBLE USE & SAFEGUARDING

Claiming AI-generated work as personal work is considered misuse and will be treated in the same manner as plagiarism. AI must not be used during examinations.

When using AI, stakeholders should identify the tool used, record the generation date, fact-check information, and add their own input where appropriate.

AI also presents safeguarding risks, including deepfakes, impersonation, bullying, exploitation, criminal misuse, and the potential to gain qualifications without genuine knowledge or skills. All users must remain vigilant and report concerns through appropriate channels.
